The internal master board held the truth: manufacturing statuses, logistics milestones, dates. The 25 client boards had to reflect that truth. In between sat a person.

Management time turned into data entry. Five hours a week spent moving information that already existed — roughly 250 hours a year.

Unavoidable omissions. Twenty-five boards to update by hand, every day. One skipped status, one line not carried over, and the client was looking at stale information. The error wasn't incompetence, it was volume.

Client visibility always one step behind. A status change during the day only showed up on the client's board the next morning. For a company whose selling point is transparency, that lag costs follow-up calls and trust.

Solution

Monday.com was the right tool. The platform wasn't the problem — the missing bridge between boards was. We built that bridge with Make.

Phase 1 — Mapping the boards: We documented the structure of the internal master board and the 25 client boards, identifying exactly which fields needed to travel and which had to stay internal.

Phase 2 — One-way synchronization: We built the sync from the master board to the 25 client boards. The internal board remains the single source of truth. The team works in one place, exactly as before. What changed is that every edit propagates on its own to the right client board.

Phase 3 — Per-client routing: Every order knows which board it belongs to. The Make scenarios identify the destination and write only where they should, with no information bleeding between clients.

Phase 4 — Event-driven triggering: The sync doesn't run on a schedule, it reacts to change. That's what moves client visibility from "tomorrow morning" to near-instant.
